WatchGuard Technologies brought 250 channel partners and staff from across Asia Pacific to Da Nang for a two-day conference and gala dinner. The five-star resort they wanted was fully booked. We took a four-star beach resort instead and produced an event that read, from the guest's side, as five-star throughout, from the poolside welcome to a fireworks countdown over the lawn.
The brief
WatchGuard needed an APAC partner conference that could carry two jobs at once: a working day of channel content for a technical audience, and an evening that gave regional partners a reason to remember the brand. The company had run these conferences in more established Asian host cities before, so Vietnam had to stand comparison on delivery, not just on cost.
The complication arrived early. The five-star resort the client had in mind could not accommodate the dates. Rather than move the programme or the city, we proposed a four-star beach resort in Da Nang and took responsibility for closing the perceived gap with production rather than price, an approach the client accepted on the condition that nothing about the guest experience felt like a downgrade.
What we delivered
iMAGINE Events Asia acted as the single production partner for the whole engagement: one bilingual lead owning venue liaison, technical design, supplier contracting, rehearsal and live delivery across both days.
Conference production, stage and set design, technical direction and run-of-show for a full day of plenary content and partner presentations.
AV and staging, LED screen, line-array audio, conference lighting and presenter comfort monitors, specified and operated by our own crew.
Poolside cocktail reception, an arrival moment that reframed the resort: lighting design over the water, styled bars and a live acoustic set as delegates came out of sessions.
Lawn gala dinner, an outdoor build on the resort lawn with staging, festoon and architectural lighting, full F&B choreography and show-calling.
Fireworks countdown finale, a licensed, permitted pyrotechnic close cued to a countdown from the stage.
Live interactive social wall, a moderated real-time feed of delegate posts projected through the reception and gala, which gave partners a reason to publish and gave WatchGuard reach beyond the room.

The programme
Two days, built so the technical content and the hospitality never competed for the same attention.
Day one: arrivals and welcome. Delegate arrivals and registration, resort orientation, and an evening poolside cocktail reception with live music and lighting.
Day two: conference. A full plenary day in the ballroom: keynote, partner sessions and product content, run to a scripted show-flow with rehearsed speaker transitions.
Day two: gala. Cocktails, a seated dinner on the lawn under a lighting rig, awards and entertainment, closing on the fireworks countdown.
Throughout. The social wall ran live across both evenings, moderated on site.
Scale and specifications
The numbers behind the two days, and the technical package our crew installed, operated and struck.
Vision, LED presentation screen with conference playback, presenter monitors and a managed content workflow for partner decks.
Audio, line-array system for the ballroom, distributed audio for the poolside reception and a separate outdoor system for the lawn gala.
Lighting, conference wash and key lighting indoors; architectural, festoon and water-edge lighting outdoors across both evening environments.
Special effects, permitted fireworks package fired to a stage countdown, with the resort, local authority and safety approvals handled by us.
Crew, bilingual stage management, technical operators and setup crew on site from load-in to strike.
The outcome
The venue substitution never became the story. Delegates experienced a conference that ran to time and an evening programme with three distinct, fully produced settings, and WatchGuard got a regional event that compared favourably with the conferences it had staged in more expensive host cities.
The social wall turned a closed partner event into visible activity, and the fireworks close gave the night an ending people photographed. The client has referenced the event as the standard for its subsequent APAC conferences.
