Software AG brought around 250 delegates to Hyatt Regency Da Nang for a conference and an evening gala, held not in the ballroom but outside, on the garden lawn. Open ground removes every convenience a ballroom provides: no rigging points, no power on the wall, no roof. We produced the evening to indoor standard anyway, with a build and a contingency plan that assumed the weather would not cooperate.
The brief
Software AG needed a conference for roughly 250 delegates and a gala dinner to close it. The gala was to be held on the garden lawn at Hyatt Regency Da Nang rather than in the ballroom, a far better setting, and a far harder production problem.
An outdoor gala in central Vietnam is a wager on the weather. It is also a build from nothing: every structure, every circuit and every lighting position has to be brought in, engineered on soft ground and made safe for guests in evening dress. The client's expectation was straightforward, the evening should feel as controlled and as finished as a ballroom event, with none of the exposure that "outdoor" usually implies.

iMAGINE Events Asia produced the gala and supported the conference programme, with one bilingual lead owning the technical design, the weather contingency, supplier control and live delivery.
Outdoor gala production, the full evening on the garden lawn: layout, scenic dressing, guest flow, F&B choreography and show-calling.
Weather-aware staging, stage and structures engineered for open ground and wind loading, with covered positions for technical equipment and a defined wet-weather plan agreed with the resort before build.
Outdoor lighting and audio, a lighting design that shaped the lawn after dark, and a distributed audio system tuned for open air rather than a reflective room.
Photo booth, a branded booth positioned in the guest flow, lit to work in the dark rather than as an afterthought.
Conference support, technical and production support across the conference sessions preceding the gala.
Power and infrastructure, distribution, cable management and safe routing across grass and walkways for a guest audience.

The programme
A conference day closing into an evening on the lawn, sequenced so the outdoor build was never visible as a build.
Build. Load-in and staging on the garden lawn, power distribution, rigging and lighting installed and tested against the wet-weather plan.
Conference. Sessions run with iEA technical and production support for the delegate programme.
Reception. Guests moved outdoors at dusk, with the photo booth and lighting design establishing the evening.
Gala dinner. Seated dinner on the lawn with staged content, entertainment and speeches called live from the production desk.
Strike. Overnight de-rig and full reinstatement of the resort's garden.

The outcome
The gala ran on the lawn as planned. Guests got the setting they would never have had indoors, open air, the resort garden, a stage lit against the dark, without the roughness that usually comes with it, because the structures, the power and the contingency had been engineered rather than improvised.
The client's own summary was about effort rather than kit, which is the right measure for an outdoor build: the work that makes an evening look effortless is almost entirely invisible by the time guests arrive.
